Shipping Information & Freight Policies

OakTree Offers Free Standard Shipping Over $45

Free shipping over $45 applies to orders that can be shipped through standard, ground shipping methods only (UPS Ground, FedEx Home, FedEx Ground or USPS). Free shipping excludes freight - see exclusions below.

Orders under $45 ship for a flat rate of $10.

Free shipping is based on merchandise totals after transaction discounts and special promotions are applied. Taxes and shipping costs do not count toward the free shipping threshold. No promo code necessary. Contiguous U.S. only.

Exclusions: Items requiring the use of a freight service are excluded from free shipping. If your order needs to ship with a freight carrier, it will be noted on the product page above the "Add to Cart" button along with the additional freight fee. If your item requires a custom freight quote (typically industrial-grade machinery), it will be marked as such on the individual product pages. Items with shipping restrictions, such as hazardous materials or products above a certain weight or size, may also have an additional shipping charge noted on the product page above the "Add to Cart" button. 

Please note: Items being shipped to extremely remote areas or areas with limited delivery access (such as islands only accessible by ferry) may incur additional shipping or freight fees. If your order requires any additional fees other than what is already noted on the product pages, you will be contacted before those fees are applied and before your item ships. This is rare and will not apply to most orders.

Freight Forwarders: OakTree Supply does not ship to freight forwarders. 

High Value Order Processing Delay: For orders paid via credit card valued over $10,000 OakTree reserves the right to delay order processing and shipment for two or more days in order to fully vet the order and ensure funds have transferred. For faster order processing of orders over $10,000 OakTree encourages payment via ACH transfer. Contact an OakTree associate for ACH instructions.

Delivery Dates: Delivery dates are estimates and cannot be guaranteed. Once an order leaves our warehouse, shipping times are determined solely by the carrier. While we’re always happy to help track a shipment or assist where possible, OakTree is not responsible for carrier-related delays for ground or freight shipments. 

Large Machinery & Freight Delivery Policy

1. Delivery Equipment & Access Responsibility Customers are required to select appropriate delivery and unloading capabilities at the time of purchase. If the delivery conditions or equipment options selected are incorrect, unavailable, or insufficient upon arrival (e.g., selecting that a forklift or loading dock capable of unloading the of the machine is available, but equipment is missing, non-operational, inadequate, or unsafe at the time of delivery), any additional fees charged by the freight carrier—including but not limited to redelivery, storage, layover, re-consignment, or return-to-terminal fees—will be billed directly to the customer and are the sole responsibility of the customer.

2. Inspection & Delivery Acceptance Procedures All machinery/freight shipments must be thoroughly inspected prior to signing the delivery receipt or Bill of Lading (B.O.L.). If damage is suspected, customers are encouraged to call OakTree before signing and unloading the freight so that we can assist you on the best way to proceed. Our phone number is 260-637-0054. If you suspect there may be damage, even if small, please also take pictures of all notable areas and email them to sales@oaktreesupplies.com. 

  • Visible Packaging/Machine Damage: If packaging shows signs of damage (crushed, punctured, ripped, missing items, damaged pallets etc.) or if the machinery itself is damaged, the customer must instruct the driver to record explicit notes describing the damage on the B.O.L. (or electronic driver device) and take pictures prior to signing. Please also take pictures of the damage yourself and send them to OakTree. 
  • Mandatory Refusals: Deliveries must be refused if the machine arrives upside down or suffers catastrophic, irreparable damage. Customers should inspect the machine inside before refusing delivery for outer box damage alone, as packaging damage does not always mean internal machine damage. Refusal of a machine without damage will be subject to any additional fees charged by the freight carrier including, but not limited to, return shipping costs.

3. Reporting Windows & Release of Freight Liability

  • Visible Damage Reporting: Any visible damage to packaging or machinery must be reported to OakTree Supply immediately upon delivery.
  • Concealed Damage Reporting: Any concealed freight damage (damage discovered after unpacking) must be photographed and reported to OakTree Supply within 24 hours of delivery.
  • Failure to Follow Inspection Steps: If a shipment with visible damage is signed for "free and clear" without noting damage on the B.O.L., or if concealed damage is reported after the 24-hour window, the customer assumes sole legal and financial responsibility for filing, pursuing, and resolving any freight claims directly with the carrier. OakTree Supply disclaims all financial responsibility for freight damage under these circumstances.
  • Retention of Packaging: If delivery is accepted with damage noted, all crating, pallets, and packaging materials must be retained until advised by OakTree Supply. Freight carriers retain the right to inspect packaging to determine claim liability.

4. Cosmetic Condition Policy

Cosmetic imperfections—including but not limited to surface scratches, paint blemishes, casting marks, or surface dings—do not affect functionality, accuracy, or service life. Cosmetic conditions alone do not constitute grounds for refusal, return, exchange, or replacement. Cosmetic damage will be handled on a case-by-case basis per OakTree’s, the manufacturer’s, and freight carrier policies.

5. Manufacturing Defects & Warranties

Any functional or manufacturing defects discovered after delivery are governed exclusively through the original manufacturer’s warranty process and are subject to the manufacturer’s terms, procedures, and remedies.

6. Acceptance of Policy

Purchasing and accepting delivery of heavy machinery from OakTree Supply constitutes full acknowledgment and acceptance of this Freight Delivery Policy. Failure to adhere to these instructions releases OakTree Supply from liability for freight-related damages, repairs, and associated carrier costs.

OakTree Supply is only able to ship to the contiguous United States at this time.
